The Role & Mission
We are seeking a highly motivated, proactive, and exceptionally organized Office & Operations Manager to serve as the backbone of our physical workspace and the face of our brand.

In this role, you aren’t just managing a space; you are curate the environment where our team thrives. You will be the primary point of contact for all office operations—from welcoming high-level guests to ensuring our logistics (parcels, mailers, and vendors) run with Swiss-watch precision. This is a role for a “Director of First Impressions” who is equally comfortable diving into administrative workflows and solving “boots-on-the-ground” office challenges.

What will I be doing?

1. Office Experience & Guest Reception
  • The Face of the Brand: Serve as the first point of contact for all guests, clients, and partners, ensuring a premium and welcoming experience from the moment they step into the office.
  • Front-of-House Mastery: Manage the reception area, handle general inquiries, and ensure the office aesthetic remains professional and high-energy.
  • Hospitality Lead: Coordinate meeting room bookings and logistics, including tech setup and catering for executive sessions or partner pitches.
2. Facilities & Vendor Management
  • Operational Control: Take full ownership of the physical office space, including maintenance, cleanliness, and overall functionality.
  • Supply Chain Management: Proactively manage inventory for office stationery, pantry supplies, and equipment. You ensure we never run out of the essentials.
  • Vendor Liaison: Manage relationships with building management, cleaning services, IT support, and other third-party contractors to ensure seamless facility operations.
3. Logistics & Administrative Support
  • Command Central: Manage all incoming and outgoing mail, courier services, and parcel distributions. You are the “gatekeeper” of the flow of goods.
  • Administrative Backbone: Provide support for essential office documentation, filing, and basic data entry to support the wider operations team.
  • Process Optimization: Identify bottlenecks in office flow and implement new systems (SOPs) to make daily life easier for the entire staff.

  • The “Owner” Mindset: A proactive, “no task too small” mentality with a strong sense of pride in maintaining a world-class environment.
  • Logistical Precision: Exceptional organizational skills with the ability to juggle guest arrivals, parcel deliveries, and vendor calls simultaneously.
  • Tech-Savvy: Proficient in basic office tools (Slack, WhatsApp, Google Workspace) and a willingness to use AI tools (ChatGPT/Gemini) to streamline office SOPs and communication.
  • High EQ: Excellent people skills. You can build rapport with a delivery driver just as easily as you can with a C-suite executive.
  • Problem Solver: When the Wi-Fi goes down or a pipe leaks, you are the person who stays calm and finds the solution.
